Terms and Conditions

The customer acknowledges and agrees to Poppy Central Oregon terms and conditions below:

Payment

A non refundable 50% deposit is required at time of booking. 

Any remaining payments are due by your event time. Without full payment, setup of the event will not occur.

A delivery and pick up fee of $2/mile, will be charged for any locations over 15 miles from Bend.

Cancellation

Cancellations made less than 5 business days from the event, will result in loss of any deposits paid. Notice must be provided within 5 business days of your scheduled event. 

No refunds will be offered due to inclement weather, you will have the opportunity to move to an indoor location or reschedule to a future date that is available.

If a picnic needs to be rescheduled due to inclement weather, you will have up to 180 days to use your credit towards booking a new event.

*COVID 19

Health and safety are our number one priorities. We want our guests to feel comfortable and safe during their pop up experience. 

To ensure safety of clients and staff during COVID, the policy is as follows:

  • We provide a contact free service 

  • All picnic equipment will be cleaned accordingly, and disinfected in between every event 

Inclement Weather

In the event of inclement weather, i.e. rain, thunder, lightning, smoke….you will have the option to move your picnic to an indoor location or reschedule to another date that is available for booking. See further guidance under the cancellation heading. 

Time Allocation

Event begins at the written contact time that was finalized during booking and ends at the written contact time finalized from booking. Event begins at the written contact time, not when you arrive. 

If you extend beyond the agreed upon time window, you agree to pay an additional fee of $75 per hour for each extra hour surpassed, this will be charged to your card.

If you wish to leave earlier than your booking time, please contact staff 30 minutes prior. Please do not leave your picnic unattended until our team arrives to clean up, you are responsible for all property until staff arrive.

If a Customer is 30 minutes late to agreed upon booking time, the Customer will forfeit the event and clean up will begin. 

Safety and Security 

For safety of staff, drop offs and packing up will occur in public spaces. 

The client is responsible for the supervision of “Poppy Central Oregon” rental items until collected.

  • If rental items are stolen the client must contact “Poppy Central Oregon” immediately.

  • The client agrees to cover the cost of items stolen.

  • Poppy Central Oregon” is not responsible for any injuries sustained where the client and or guest move incorrectly and misuse the items against recommendations or instruction of “Poppy Central Oregon”.

Losses and Damage

All Equipment supplied on hire is the property of Poppy Central Oregon. Any damages, losses or extensive cleaning will result in fees billed to you, The customer. The customer is responsible for any losses or damages to any items supplied by Poppy Central Oregon

Fees will be promptly applied for replacement at the full cost of purchasing a new replacement item. These fees are payable within seven days of such loss or damages incurred unless agreed otherwise. The “Customer” shall pay for all equipment damage or loss however caused during the period of the booked event. 

Damages include but are not limited to: improper use of equipment, disappearance of the equipment, damage to or loss of the equipment for any unknown cause(s), cigarette burns on any furniture or decor items. Smoking is not permitted on or near the property of “Poppy Central Oregon”, red wine or other staining product spillages or stains on any furniture or decor items, no chewing gum or sticking on any of the plates, furniture and all items that are being rented and belong to “Poppy Central Oregon.”

Any and all items with flammable properties will not be lit during the booking.​

*in the event of theft and/or damage

In the event of the equipment being stolen from the booking site, the Customer shall notify the Poppy Central Oregon in writing stating the full circumstances of the theft and include the time upon which the police was notified. ​The Customer shall also reimburse Poppy Central Oregon for any such loss(es) of the equipment at the current replacement cost of the equipment, and must pay that cost to the Poppy Central Oregon on demand. All hired equipment must not be relocated from the designated place of setup by the Poppy Central Oregon to any other venue or premise. The Customer warrants that all equipment will not be left unattended for the duration of the booked events. The Poppy Central Oregon shall not be liable for any loss(es) or damages arising out of the overloading, exceeding rated capacity, misuse, or abuse of the equipment by the Customer.  The Customer agrees to keep the Poppy Central Oregon indemnified in respect thereof. 

Advertising

Poppy Central Oregon has the right to use photos, videos and any other promotional asset of our creative work for promotional purposes. Unless you inform us in writing of your desire to “opt-out of” your event to be used by our company and employees for promotional purposes, we will assume that we have your tacit approval. All creative work performed, executed and provided by Poppy Central Oregon must be credited accordingly. All publications, including but not limited to media, print, blogs and social media must credit us and our vendors in a manner native to the publishing platform.
